GRAND TRAVERSE AUDUBON BOARD MEETING MINUTES

12.04.2020

APPROVED 02.04.2021

This meeting was held virtually on  Zoom.  As this was our first virtual meeting, the agenda and minutes are combined.

Board members participating: Leonard Graf, (via phone), Barb Graf, (via phone) Kathy Flegel, Ann Kennedy, Jerry Freels, John Mesch,  Shirly Mesch, Mary MacDowell

  1.  Virtual meetings for 2021
    • The board determined that we should go forward with virtual meetings for 2021 and see how that works for the club.  Kathy has arranged presentations for every month through January 2022 except October 2020.  Many  presenters have  had experience in a virtual format.
    • The club will need to determine what platform to use.
    • The first membership meeting and presentation is January 28, 2021
  2. Yahoo Groups: Bird Alert and Virtual Platform search
    • Yahoo Groups is closing on December 14.  There has been discussion about what alternatives are available.
    • Mary Ellen Newport has volunteered to research the options for a new email product to replace Bird Alert.
    • It was suggested that it would be useful to have one platform that could provide both the virtual meeting capability and an email distribution that could be used for Bird Alert.  Mary MacDowell volunteered to assist Mary Ellen Newport.
    • Leonard Graf will contact Mary Ellen to ask her to combine her search to include both a virtual platform and a replacement for Bird Alert. He will ask Mary Ellen to work with Mary MacDowell
  3. Membership Booklet
    • Discussion on distribution of the membership booklet.
    • MOTION:  Motion by Mary MacDowell seconded by Ann Kennedy to distribute the membership booklet to current members via email.  Members can request a hard copy booklet.

MOTION PASSED

  • A small printing of the booklets will be made if people request it.
  • The electronic version of the membership booklet will be sent out in a PDF format. The PDF can be printed.

Mary MacDowell will follow up with Copy Central to arrange for a limited printing of the booklets.  Mary will also send the listing out to the membership.

  •  Website and Facebook
    • The website requires updating. Out current Webmaster is unavailable.

Kathy Flegel will  send a message to see if any member would serve as the Webmaster.  She will also research how other clubs maintain their websites either through volunteers or a paid person to update content.

The club paid for two years of web hosting costs (server) last year.

  • Facebook:  Ann Kennedy volunteered to be an Administrator on the Club’s  Facebook page. Shirley  Mesch will add Ann Kennedy as an Administrator.  There are currently three administrators: Shirley Mesch, Missy Rassel and Holly Vaughn.  The latter two began the page but Shirley had worked on it in the past.  Ann has volunteered to maintain the page.
